You’ll be someone who is both comfortable working proactively and managing your own tasks, as well as confident collaborating with others and communicating regularly with senior managers, directors, and BDO’s partners to help businesses effectively. You’ll be encouraged to identify and draw attention to opportunities for enhancing our delivery and providing additional services to organisations we work with.

Working in our Cambridge Office, this key role will assist with the coordination of activities within the office itself for example assisting with the management of any local office contacts for reception, hard and soft services. 

The role is to provide support to the local Senior Team on all things to do with reception duties, H&S, IT, Information Security, the Environment and CSR and will work closely with the Partner team to enable effective planning and execution of the office administration and operational functions.

In this key role you’ll:

  • Be office based in Cambridge Mon - Fri (9am – 2pm)
  • Be the office go-to and contact for any visitors/contractors and the business estate team
  • Be a key contact for everyone working in the Cambridge office.
  • Carry out office checks, to ensure the office is always compliant with Health & Safety (H&S), Fire & Environmental regulations. 
  • Conduct H&S audits on a monthly basis to update BDO reporting systems in support of the firm’s accreditations
  • Ensure paperwork filed accordingly
  • Collate information required and data for carbon reporting and BDO’s ESG programme
  • Assist in coding invoices
  • Check PPMs are completed correctly and relevant meter readings are taken
  • Work with the Environmental champion in the office and assisting with projects as they arise
  • Assist the IT team in cascading information to the office and working with IT as required to resolve issues
  • Ensure local contractors are regularly audited to confirm compliance with SLAs and agreed KPIs and office contact
  • Manage day-to-day office issues raised by partners and staff
  • Act as Reception co-ordination for clients and contractor visits
  • Work with the Partner and senior manager team, National Facilities team and local stakeholders
  • Manage requests from stakeholders and actioning quickly and efficiently
  • Be aware of BDO policies and support staff on systems and requirements and reporting platforms.

Training will be provided to:

  • Carry out the role of Chief Fire Warden for the office and checking fire warden training is up-to-date
  • Office awareness which will cover various aspects of regulations and compliance
  • Be a First Aider and checking appropriate First Aiders are qualified
  • Be Office H & S Representative and DSE Assessor for the office to ensure checks on certifications are in date and that relevant training and assessments have been completed

  • Ability to work in a busy environment, meet deadlines, and to respond quickly
  • Experience in a similar role is preferable
  • Previous experience of Workday ideal but not essential, as training will be given
  • IT literate
  • Excellent communication skills, both written and oral, and the ability to communicate with a number of key senior, partner stakeholders
  • Excellent interpersonal skills in order to build strong relationships with stakeholders
  • Able to use initiative and work under pressure with accuracy and focus and able to demonstrate problem solving skills
  • Strong organisational and time management skills
  • Accuracy and attention to detail essential
  • Must be flexible and adaptable
  • Strong team worker
  • Enthusiastic / self-motivated / self-confident
