SSC Senior Assistant - Global Mobility

You’ll be someone who is both comfortable working proactively and managing your own tasks, as well as confident collaborating with others and communicating regularly with senior managers, directors, and BDO’s partners to help businesses effectively. You’ll be encouraged to identify and draw attention to opportunities for enhancing our delivery and providing additional services to organisations we work with.

Responsibilities:

Secondments

  • Drafting secondment agreements for short term and long term inbounds
  • Draft pre-secondment letters for any outbound secondees
  • Arranging secondment agreement signatures
  • Update and regular monitoring of Secondment tracker
  • Where applicable, arranging temporary accommodation once visa has been approved for short term Inbound secondees only
  • Sending Welcome and Departure emails to Secondees

Client Secondments

  • Update master tracker for Client secondments as per completed agreements received on SNOW ticket
  • Update tracker for client secondment extensions if any
  • Answer first level SNOW tickets on client secondment queries as per existing process/templates

Immigration

  • Gaining permission from employees and carrying out ECS checks for employees whose current visas are close to expiry such as:
    • Tier 4 visa or Graduate visa to Skilled worker visa cases
    • Sponsorship Visa Renewal cases
    • Dependent visa cases
    • Employees awaiting ILR decision etc.
  • Moving email correspondence to DMS folders after New hire / Secondee joins - for record keeping and GDPR compliance
  • Monitor GM SNOW queue and Global Mobility & Immigration mailbox to respond to tickets and emails within SLAs. Tag emails for appropriate action and answer frequently asked questions on tickets and emails based on existing answer templates
  • Initiated Visa renewal and Secondee visa cases on Workday based on instruction from the GM team members
  • Visa approval letters – updating main immigration tracker, move to completed on renewals tracker, raise RTW ticket with HRS
  • Add pipeline cases to immigration tracker from application report sent by the internal immigration team
  • Flag any issues to the other GM team members in relation to Immigration/ secondment matters
  • Immigration Compliance: Download weekly reports from Workday used for monitoring Immigration compliance, do the mandatory checks and update the weekly SMS tracker ready for the GM team to review and work with them closely on ensuring Immigration compliance

Leavers

  • Setting reminders in calendar for Leaver notification tracker and actioned
  • Update Immigration and Secondment tracker once the leaver has left BDO
  • Requesting visa invoices and calculating the amount reclaimable from the employee who has resigned, informing HRS
  • Track terminations with ER team
  • Track payroll tracker needed for visa holders on Maternity/ Paternity/ paid leave/ Unpaid leave etc for monitoring Immigration compliance
  • Updating weekly SMS tracker to be sent to Immigration team
  • Sending Visa curtailment emails

Updating and maintaining GM Trackers

  • Immigration Tracker
  • Day 1 new joiner moving from Pipeline to Current and updating relevant details in relation to Employee ID (from Workday)
  • Updating visa end date on the tracker as per Visa approval letter
  • Move people from current to terminated tab for leavers
  • Update tracker based on applicant report received from Immigration team
  • Secondment Tracker – Entering secondee details for pipeline inbound and outbound BDO employees, capturing key elements of secondment. Updating active secondee list accordingly when there are relevant changes (e.g., secondment extension, visa renewal in process, etc.)
  • Completed Secondments Tracker – Updating this tracker whenever a secondment has completed/ended and adding any appropriate notes
  • Ensuring a copy of the trackers are archived on a regular basis
  • Prepare the monthly reports for Secondments (monthly movement tracker and audited entity tracker) as per monthly deadline date and send it to GM Manager for review.

Visa letters issued by GM

  • Issue ILR and Sponsorship visa Maintenance letters using Workday after Internal processes are followed

Relocation assistance

  • Check weekly Workday report for Benivo registrations list and register people on Benivo platform
  • Inform Benivo of leavers so that they are de-registered on their platform

Other

  • Emails filing and compliance packs filing to
  • Check compliance packs received has relevant documents included i.e Entry stamp on visa vignette and other docs
  • Moving folders from GM Immigration and Secondment DMS folders to respective individuals’ folders

Requirements:

Essential

  • Administration experience is highly desirable
  • Experience of working within a busy, fast-paced environment
  • Strong attention to detail
  • Excellent communication skills
  • Computer literate with MS Office and HR systems
  • Strong analytical skills  (Preferable but not essential)
  • Credible and confident to interact with stakeholders  
  • Excellent time management, organisation and prioritisation skills
  • Be able to lead by example and influence optimal performance of team 
  • Ability to learn new skills where required

Desirable

  • Can demonstrates an interest in HR processes and activities
  • An understanding of GDPR
  • Data analysis and reporting
